After personal data is deleted, PROPHET anonymises data meaning that a person can no longer be identified and their profile will no longer be able to be processed.

When you complete the online PROPHET Questionnaire, the information you provide is sent securely over the internet to our servers in Ireland. PROPHET uses this information to generate an Individual PROPHET Profile. Your Individual PROPHET Profile will be delivered to you by a Certified PROPHET Practitioner, for example during a workshop or personalised debrief. If you are using PROPHET as part of an organisational development initiative with your employer or another organisation with whom you are interacting, the PROPHET Practitioner may include a high level of your Profile included as part of team reports. You may be invited to share with colleagues your full Individual PROPHET Profile during the course of these events, but you are not obliged to do so.

PROPHET Individual Profiles are to be used for development purposes only, not selection.

This Privacy Policy is updated annually. We may change it from time to time so please check regularly to keep informed of updates.

Please follow the relevant link to read more about the PROPHET Individual Profile and other types of PROPHET Reports. The Individual Profile is the basis for all other reports, as the team reports comprise all the individuals within it.

PROPHET uses anonymised aggregate data to validate the instrument, which is crucial as part of registering PROPHET with the British Psychological Society. As no individual is identifiable from this data, this no longer falls within the scope of data protection acts.

This will be determined by the Data Controller. Typically, after a respondent has attended a workshop or debrief to receive their Profile, PROPHET will keep the respondent’s data on secure servers on the request of the Data Controller for the following potential purposes if required:

• For future access to your Individual Profile. If you are invited to complete the PROPHET Questionnaire again later, PROPHET can provide a copy of your previous Profile(s). This would let you see how your preferences might be changing over time. (PROPHET suggests that a respondent completes the Questionnaire again in the event that either: they feel they may have changed preferences, for example due to a change in role or context; or if more than 2 years has passed.)
• For a subsequent workshop or debrief. For example, as part of a team report, as team members change or new members join, the organisation may run new reports to support the new teams; to give insight on the make-up of the new teams.
• For subsequent organisational insight reports. Organisations may run Organisational Insight Reports to gain insight on wider organisational patterns of preferences for work.

The PROPHET questionnaire itself collects information on your relative preferences for different types of work-based scenarios.

The Data Controller determines the purposes for which and the manner in which your personal data is processed. The organisation is the Data Controller when:

• They ask PROPHET to collect the personal data in the first place and may also set the legal basis for doing so;
• They determine the purpose or purposes the data are to be used for;
• They instruct PROPHET which individuals to invite to complete the questionnaire;
• The organisation determines whether to disclose the data it holds, and if so, who to;
• Whether subject access and other individuals? rights apply i.e. the application of exemptions;
• How long to retain the data or whether to make non-routine amendments to the data.

These are all decisions that can only be taken by the Data Controller as part of its overall control of the data processing operation.

Consent is the responsibility of the Data Controller.

At the beginning of the PROPHET questionnaire, you are asked to give your consent before you are able to complete the questions. If consent is withheld, it is the responsibility of the organisation (or Certified User asking the individual to complete PROPHET) to agree the appropriate next steps. PROPHET will not allow the individual to complete the questionnaire unless they consent.

PROPHET advises organisations never to mandate someone to complete PROPHET against their will, as the results are likely to be compromised and therefore meaningless, as the individual may not have completed the questions accurately or in good faith. As PROPHET is intended to support people in their development and relationships at work - this therefore would work against the purpose of the development initiative. PROPHET advises organisations to encourage the respondent to complete the exercise only if they are willing and open to the development initiative. In instances where they are unwilling, it may be that the individual does not like psychometric instruments, or it may be that they do not trust the organisation to do the right thing by their data. This is a matter for the Organisation and the respondent.

• For onboarding and new working relationships: “I’m starting work with new colleagues - I want to set our working relationship up for success.” PROPHET fosters trust and understanding from the outset, enabling smoother collaboration.
• To reset key relationships: “We need to better understand each other and why we work the way we do” PROPHET provides insights that bridge differences and improve working relationships.

All data collected through the PROPHET system and is transmitted securely over the internet using TLS v1.2 encryption protocols or better. The data is stored in the PROPHET databases, in secured AWS Data Centres, compliant to ISO9001 and ISO27001.

PROPHET has implemented security policies, rules and technical measures that match or exceed industry-standard protocols to protect your data. These security measures are designed to prevent unauthorised access, improper use or disclosure, unauthorised modification, unlawful destruction and accidental loss.

PROPHET provides products and services to customers around the world. However, we will store your Preference Data and Personal Profiles in our data centre in Ireland. PROPHET will only transfer your data outside of the European Economic Area (EEA) in the following situations:

• You are outside the EEA and we are transferring your data to you; or
• We are transferring your data to a Practitioner who is assigned to deliver your data to you, and the practitioner is required by contract to handle the personal data in strict compliance with this policy and with the General Data Protection Regulation (being Regulation (EU) 2016/679 of the European Parliament and of the Council [2016] OJ L119/1).

Reports are purchased by or on behalf of PROPHET Certified Practitioners, or by an organisation or individual seeking to use PROPHET for development purposes. Each profile includes the contact details of the Certified Practitioner responsible for supporting the individual, whether answering questions or conducting a debrief. Certified Practitioners may include coaches, search consultants, HR professionals, or, when purchasing directly from PROPHET, the PROPHET team.

Certified Practitioners are carefully selected, trained, and bound by PROPHET's Terms of Acceptable Use. If you become aware of misuse of the PROPHET instrument, please contact us at support@prophetprofiling.com.

It is the responsibility of the Data Controller to determine and communicate who will have access to your Profile. The below categories illustrate who is likely to have access to your Profile during the course of its administration and use in the development initiative.

The Data Controller

The Data Controller is typically one of: the organisation that invited you to complete PROPHET Profile / your employer / the Certified user you are working with. If you completed PROPHET as part of a development initiative within or for an organisation, it is likely that this organisation will also be the Data Controller. The Data Controller determines the purpose or purposes the data are to be used for and also whether to disclose the data it holds, and if so, who to. Your Profile will first be shared with them, in order that they can share it with you as part of the development initiative.

You (the respondent)

Typically, you will receive your Individual PROPHET Profile and any derived team reports you are part of. The timing of when you receive a report will be determined by who places the order; it may be immediately available, once you have completed the questionnaire; or access may be delayed to coincide with a meeting or event.

The Certified User (to debrief of your Individual PROPHET Profile)

NB. This individual may also be the Data Controller, if they are an independent coach or consultant. It may be that you receive your Individual PROPHET Profile from the Certified User to coincide with a debrief, workshop or webinar that they run with you.

Administrative support for the Certified User

Authorised administrative assistants may help with ordering and administrating Individual PROPHET Profile and Reports, via access to the PROPHET Portal. Your Data Controller will be responsible for assigning permissions where needed to administrative assistants to handle profiles for the purpose of processing an order.

Colleagues as part of a team / organisational development initiative

PROPHET is intended to support team development and summaries of Individual Profiles are included within team reports (NB. Not the full detailed Profile). During a workshop, individuals may be invited to share aspects of their Profile with the group but should not feel obliged to do so. You may choose to share your full Profile with colleagues.

No third parties

PROPHET will never sell your personal information to anyone for any purposes, and we will not use your Personal Profile, Personal Details, or Personal Preference Data for marketing purposes.

All PROPHET Certified users are employees or consultants of one of the following:

• PROPHET Profiling Limited;
• Independent Accredited / Certified Users (for example an Accredited coach as part of the Wisdom8 network; independent coaches or consultants; or other partner organisations, which accredit their consultants to use PROPHET in their work);
• A company or organisation that purchased the profile for you (this usually means the Practitioner is employed by your employer, for example an HR or Learning & Development professional working in your organisation, supporting your development).

All Certified practitioners of PROPHET have undertaken training either directly with PROPHET or with an approved trainer.
